This policy explains how Renée Materials Ltd (“we”, “us”) collects, uses and protects your personal information when you use our website at hub.reneematerials.co.uk, place an order, or otherwise communicate with us. We are the data controller for the purposes of UK data protection law. Please read it carefully.

1. What we collect
Contact and account details: your name, email address, phone number and postal address. Where you create an account, we also collect your username and password.
Order and transaction information: the items you purchase, billing and delivery addresses, and payment confirmation. Card details are handled directly by our payment processor; we do not store them.
Usage data: information about how you interact with our site, including your IP address, browser type, device information and pages visited. We collect this using cookies and similar technologies (see section 3).
Marketing information: where you have subscribed to our mailing list, your email address and any preferences you have indicated, and any other information you provide.
Communications: the content of any messages you send us, including customer support enquiries.

2. How we use your information
We use your personal information for the following purposes, each resting on the legal basis indicated.

Fulfilling orders and managing your account is necessary for the performance of our contract with you. This includes processing payment, arranging delivery, and communicating with you about purchases, returns and account activity.
Sending marketing emails to existing customers is carried out on the basis of our legitimate interests, where you have purchased from us and have not opted out. You can unsubscribe at any time using the link in any email we send.
Sending marketing emails to non-customers is carried out on the basis of your consent, given when you subscribed to our mailing list. You may withdraw consent at any time by unsubscribing; this will not affect the lawfulness of processing carried out before withdrawal.
Fraud prevention and security is carried out on the basis of our legitimate interests in protecting the site, our business and our customers.
Improving our site and services is carried out on the basis of our legitimate interests in understanding how our site is used and making it work better.

3. Cookies
We use cookies to operate the site, remember your preferences, and analyse visitor behaviour. Our store is powered by Shopify; further detail on the cookies Shopify sets is available at shopify.com/legal/cookies. You can control cookies through your browser settings, though disabling them may affect site functionality.

4. Who we share your information with
We share personal information only where necessary to operate our business or comply with the law:
Shopify, who power our online store and related services.
Mailchimp (Intuit Inc.), who manage our email marketing. Mailchimp operates under standard contractual clauses approved for UK transfers.
Our payment processor, who handles card transactions on our behalf.
Delivery, supplier, logistics, and other business partners, to the extent required to fulfil your order and conduct our business effectively.
Professional advisers and public authorities, where required by law, to conduct our business effectively, or to protect our legal rights.

We do not sell your personal information to any third party.

5. International transfers
Some of our service providers, including Mailchimp and Shopify, process data outside the UK. Where personal information is transferred internationally, we rely on appropriate safeguards – typically the UK International Data Transfer Agreement, standard contractual clauses approved by the ICO, or an adequacy decision covering the destination country.

6. Children
Our services are not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us with their information, please contact us at hello@reneematerials.co.uk and we will delete it promptly.

7. How long we keep your information
We keep your information for as long as is necessary for the purposes described in this policy. In practice this means:
Order and transaction records are kept for six years to meet HMRC accounting requirements.
Account information is deleted promptly following a deletion request, subject to any overriding legal obligation.
Marketing list records are kept until you unsubscribe or ask us to remove you.
General correspondence is kept for up to three years.

8. Your rights
Under UK data protection law (UK GDPR and the Data Protection Act 2018) you have the right to:

  • access the personal information we hold about you;
  • ask us to correct inaccurate or incomplete information;
  • ask us to delete your information, subject to any legal retention obligations;
  • object to processing based on legitimate interests, including direct marketing;
  • restrict our processing in certain circumstances;
  • receive a portable copy of information you have provided to us;
  • withdraw consent where we rely on consent as our legal basis, without affecting prior processing.

9. Changes to this policy
